Servers explained

Servers are the unsung heroes of the digital world. They power websites, enable file sharing, and keep businesses connected. But what is a web server exactly? And what do servers actually do?

At Systems&Smiles, we believe in making tech easy to understand. Whether you’re connecting to a server, managing shared folders, or troubleshooting access issues, this guide will walk you through the essentials of servers and their role in your business.

What Is a Web Server?

A web server is a computer system that stores and delivers content, like websites or files, to users over the internet. Think of it as a digital post office, processing and delivering data to those who request it. But servers can do much more than host websites—they also manage shared resources, streamline collaboration, and secure sensitive data.

What Do Servers Actually Do?

Servers perform several critical functions for businesses, including:

  • Data Hosting: Storing files, applications, and databases.
  • Resource Sharing: Allowing team members to access shared folders and tools.
  • Security: Controlling access permissions and protecting data.
  • Remote Accessibility: Letting users connect to resources from anywhere.

Connecting to a Server

On Mac:

  1. Open Finder and click Go > Connect to Server.
  2. Enter the server address (e.g., smb://192.168.xxx.xxx).
  3. Enter your username and password when prompted.
  4. Select the shared folder to mount it on your desktop or sidebar.

On Windows:

  1. Open File Explorer and click Map Network Drive.
  2. Choose a drive letter and type the path to the server share (e.g., \\serveraddress\foldername).
  3. Check Reconnect at Sign-In to save the connection.

Managing Server Shares

Adding Additional Server Shares:

  1. Open Finder (Mac) or File Explorer (Windows).
  2. Follow the steps above to connect to new shared folders.
  3. Save them to your desktop or login items for easy access.

Removing Server Shares on Mac:

  1. Open Finder and locate the shared drive under the Shared section.
  2. Click the Eject symbol next to the drive.
  3. Remove login items via System Preferences > Users & Groups > Login Items.

Troubleshooting Server Access

Forgotten Server Details:

  • Your server username is typically the part of your email address before the “@” symbol.
  • For lost passwords, contact your IT team to reset them securely.

Resetting VPN Passwords:

  • If accessing the server remotely via VPN, ensure the new password is updated in your VPN settings after a reset.
